What is legal practice automation, and who is it for?

Legal practice automation means routine drafting, client intake, deadline tracking and signatures happen in software rather than by hand. Techmode builds these for Kenyan law firms so advocates spend their time on advice rather than assembly. It suits firms where the same documents are produced repeatedly. From KSh 80,000, in two to six weeks.

Document automation, client intake, deadline and court-date tracking, and e-signature workflows built for Kenyan law firms. Routine drafting and admin happen in minutes — your advocates focus on the law.

The problem

What this actually costs you.

Every engagement letter starts as last month's, with the names changed.
What it costsPartner time on assembly, and the occasional wrong name left in a document.
Court dates live in one diary and one head.
What it costsA missed deadline is not an inconvenience in this profession; it is negligence.
Client onboarding takes a week of back-and-forth for documents.
What it costsBillable work cannot start, and the client's first experience is chasing.

What we build

The outcome, not the deliverable.

We scope every engagement around results you can measure — not line items that sit on a shelf.

  • Draft routine documents in minutes
  • Never miss a court date or deadline
  • Onboard clients without the back-and-forth

What changes

Before, and after.

  • A new client instructs the firm

    The old way

A week of emails collecting identity documents and details.

    With Techmode

One secure form, filled once, with the file opened and conflict-checked from it.

  • A routine document is needed

    The old way

Copy last month's, change the names, hope none were missed.

    With Techmode

Assembled from the matter record in minutes, then reviewed by an advocate.

  • A deadline approaches

    The old way

It depends on someone remembering to look at the diary.

    With Techmode

Reminders escalate on a schedule until someone acknowledges the date.

What's included

Everything in the price, itemised.

  • Your own precedents turned into templates that assemble from a single intake
  • A client intake form that collects the details and documents once, properly
  • Conflict-check and file-opening steps built into intake rather than remembered
  • A matter calendar with court dates, limitation periods and layered reminders
  • E-signature routing, with the executed copy filed automatically
  • Access controls per matter, and a log of who opened what
  • Training, and a template your team can edit without calling us

Timeline

2–6 weeks, week by week.

  • Week 1

    Precedents and matter types

We take your existing precedents and the matter types that recur most, and agree what intake must capture to produce them.

  • Weeks 2–4

    Templates, intake and calendar

Document assembly, the intake portal, conflict checks and the deadline calendar, tested against real past matters.

  • Weeks 5–6

    Signatures, permissions, handover

E-signature routing, per-matter access, and training. An advocate reviews every automated document before it is relied on.

Investment

From KSh 80,000, and what moves it.

Legal Practice Automation projects start at KSh 80,000 and typically run 2–6 weeks. Every project is scoped and priced in writing before any work begins — the figure below is a starting point, not a quotation.

What pushes the price up

  • A large precedent bank rather than the handful that produce most of the work
  • Integrating with existing practice management or accounting software
  • Several offices with different filing and approval conventions

What keeps it down

  • Starting with the three or four documents the firm produces most often
  • Precedents that are already consistent and current
  • A partner who can decide on wording without a committee

Third-party costs — hosting, WhatsApp conversation fees, app store accounts — are yours and are named up front. See how we price for the full picture.

Questions

Legal Practice Automation, answered.

  • Does this mean software drafts legal documents unsupervised?

No. It assembles routine documents from your own precedents and the matter record, and an advocate reviews every one before it leaves the firm. The saving is in the retyping, not in the judgement.

  • Is client data safe under the Data Protection Act?

That is designed in: access is per matter, actions are logged, transfers are encrypted, and retention is set deliberately. We will also tell you plainly where the data physically sits, because claiming Kenyan residency we cannot deliver would help nobody.

  • Can it track court dates and limitation periods?

Yes. Dates are held against the matter with layered reminders that escalate until acknowledged, rather than a single notification that can be dismissed and forgotten.

  • Will this work with the systems we already have?

Usually. Most Kenyan firms run some mix of Word precedents, a shared drive, and accounting software. We connect to what you have and only recommend replacing something when keeping it would cost more in workarounds.

  • How much time does a firm actually get back?

It depends on how repetitive your work is, which is why we time the current drafting and intake process before quoting. Firms with a high volume of similar matters see the most; a purely bespoke advisory practice sees least, and we will say so.
