Who we serve

Fees, records and parent communication for Kenyan schools

The bursar's week back, and parents who know where they stand.

How does Techmode help schools & education?

Techmode builds student records, fee collection and parent communication systems for Kenyan private schools and colleges, with M-Pesa paybill reconciliation and automatic reminders. It suits schools where fee tracking and parent messaging are done by hand each term. Systems start from KSh 450,000; focused automations from KSh 80,000.

What we hear

The week, as it actually goes.

Fee balances are worked out from a ledger and an M-Pesa statement.
What it costsDays per term, and parents who are told a different figure depending on who they ask.
Reminders go out as a broadcast to a list that is out of date.
What it costsParents who have paid get chased, and the ones who have not sometimes do not.
Attendance and results live in separate books.
What it costsNobody sees the pattern until a parents' evening, by which point it is a term late.

What we install

The systems that fix that week.

01

One student record

Fees, attendance, results and contacts against the same student, visible to the staff who need them.

02

Fees that reconcile themselves

M-Pesa paybill payments matched to the student automatically, with the balance updating as they land.

03

Reminders that go to the right parent

Personalised balance reminders by SMS or WhatsApp, with a payment link, sent only to families who owe.

04

Reports the board can read

Collection rates, arrears ageing and enrolment, current rather than assembled at the end of term.

What changes

Before, and after.

  • The old way

A parent asks for their balance and waits for the bursar to check.

    With Techmode

They are told immediately, and it is the same figure whoever they ask.

  • The old way

A fee reminder goes to everyone, including parents who paid last week.

    With Techmode

It goes only to families with a balance, and it names the amount.

  • The old way

Term-end reporting is a week of collating.

    With Techmode

The numbers are current; the week goes to the school.

Questions

Schools & education, answered.

  • Can parents pay school fees by M-Pesa?

Yes, through your paybill. The payment is matched to the student automatically using the reference, the balance updates, and a receipt goes out. Payments that cannot be matched go to a queue with the reason, rather than being forced onto the wrong student.

  • Is student data safe?

Access is role-based — a class teacher, a bursar and the head do not see the same things — and every change is logged. Student data is minimised to what the school actually needs, in line with Kenya's Data Protection Act 2019.

  • Our staff are not technical. Will they manage it?

The design assumes that. Screens are built around the jobs staff actually do rather than the data model, and training is part of the project rather than a document sent afterwards. We also stay through the first term-end.

  • Can we start with just fees?

Yes, and for most schools that is the right first phase — it is where the hours and the arguments are. Records and communication extend it later without a rebuild.

  • What does a school system cost?

A full system starts at KSh 450,000. If the pressing problem is only fee reconciliation and reminders, a focused automation starts at KSh 80,000, and several schools are better served by starting there.
